Hi Maya — yes, we're accepting new clients and we're in network with Aetna. I have consultation times Thursday and Friday. Would either work for you?

Who this is for

You might recognize your practice here.

Different licenses, same problem — you're the clinician and the front desk at the same time. Built for practices where the admin isn't unmanageable, it just always arrives while you're with someone.

The work we take

What we handle

Four things, done consistently, inside the systems you already use. We work from your scripts and your rules — not our own.

New-client inquiries

The message that arrives while you're in session doesn't sit in an inbox until evening.

  • Psychology Today, website forms, and practice email reviewed several times each business day
  • Responses written from your approved scripts
  • Administrative details gathered — service requested, availability, self-pay or insurance
  • Anything needing clinical judgment goes straight to you

Administrative intake

The paperwork chase, handled — so the first session starts with everything already in place.

  • Intake paperwork and portal invitations sent
  • Completion tracked, incomplete forms followed up
  • Administrative information confirmed before the appointment
  • Not clinical intake or assessment — that stays with you

Scheduling

Booking, moving, and cancelling appointments directly in the calendar you already keep.

  • New appointments and consultations booked to your rules
  • Reschedules and cancellations processed
  • Availability offered only within the boundaries you set
  • Updated in your EHR — no second calendar to reconcile

Written administrative communication

The routine back-and-forth that fills the gaps between your sessions.

  • Practice email and secure EHR messages
  • Routine administrative questions answered
  • Appointment confirmations and reminders
  • Anything that stops being administrative goes to you, not into a queue

What we don't handle

A short list on purpose. Every item here is something we've deliberately kept out of scope — because it belongs with you, with your biller, or with a licensed clinician.

  • Clinical judgmentAssessment, advice, crisis response, or anything a license is required for.
  • MarketingNo ads, SEO, social media, or lead generation. You bring the inquiries; we manage them.
  • Billing and claimsNo insurance billing, claims, or revenue-cycle work.
  • Your clients' moneyWe never take card details, process payments, or touch client balances.
  • Live phone answeringThis is a written service. It's what lets us respond reliably instead of whenever a phone is free.
Why it's different

You're not hiring an assistant. You're handing off the front desk.

Most therapists who try to solve this end up with a second job: finding a virtual assistant, training them, writing their procedures, checking their work, and starting over when they leave.

Hiring a VA

You recruit them. You train them. You write the procedures. You supervise the quality. When they're sick, unavailable, or gone, the work stops and you start again.

Codes & Culture

You approve a workflow once. We own the hiring, the training, the documented procedures, the quality checks, and the coverage. You get the work done, not a person to manage.

How it works

A careful start, then it's quiet

Onboarding is deliberate because access to a practice should be. After that, the whole point is that you stop thinking about it.

Fit check

A short form tells us your systems, your volume, and how you like to work.

Consultation

We walk through exactly what you'd hand over — and what you wouldn't.

Agreement

Scope and service level in writing. Service agreement and BAA signed before anything else happens.

Secure access

You create a named account with the permissions you choose. We never ask for your password.

We start

Your scripts, your scheduling rules, your escalation triggers. Then the inbox stops being yours.

Founding practices

Three practices. Sixty days.

This service is new. I'd rather build it with a small number of real practices than guess at what therapists need — so I'm taking on three, at a founding rate, for a 60-day pilot.

$395/month
plus a one-time $150 onboarding
60 days
Cancel any time
14 days' notice

What's included

  • All four core functions — inquiries, intake, scheduling, written communication
  • Same-business-day administrative response
  • A monthly account review showing exactly what was handled
  • Direct access to me, not a coordinator

What you get for being early

  • A founding rate well below what this will be priced at
  • 20% off published pricing for 12 months after the pilot ends
  • Real influence over how the service works

What I ask in return

  • Two 30-minute conversations — one at day 30, one at day 60
  • Honesty when something doesn't work
  • Patience with a service that is visibly being built

After the pilot, pricing will be published openly. Founding practices keep 20% off it for a full year.

See if we're a fit

Start with a few questions

This isn't a sales form. It tells me whether I can genuinely help you and which plan fits — and if I'm not the right answer, I'll say so.

Thank you — that's come through.

I read every one of these myself. You'll hear back within one business day.

Select all that apply.

Even a rough one counts. If it lives in your head, say so — that's useful to know.

Please don't include any client names or clinical details in this form. I'll reply within one business day — and if I'm not the right fit, I'll tell you that instead of selling you something.
